Executive Director – Kitchener-Waterloo Skating Club

The KWSC is located in the twin cities of Kitchener-Waterloo, Ontario, 100 Km (60 miles) west of Toronto. Our home facility is the Carolyn Fedy Skating Centre, in Waterloo at the RIM Park complex, which includes four Olympic size rinks, a mirrored, hardwood studio space, an athletic centre, food concessions, and a skate shop. In existence since 1938, the KWSC organizes programs from pre-school to adults. We operate competitive programs that have sent Singles Skaters, Dance Pairs, Freeskate Pairs, and Synchronized Teams to compete in the Canadian Championships, as well as International Competitions. The KWSC is one of Canada's largest figure skating clubs.

Reporting directly to the KWSC Board of Directors, the Executive Director will take responsibility for all aspects of club operations including both on and off ice programs within the KWSC. This leadership position will ensure that all initiatives and strategic plans are fully implemented and will take full responsibility for the Profit and Loss of the KWSC.

Job Summary

  • Development and execution of strategic plan including projecting future facility needs, serving on community planning committees and communicating/liaising with other user groups
  • Manage and coach staff to achieve KWSC strategic goals and operational plan objectives, monitor job descriptions/evaluations, maintain personnel files, responsible for overall staffing model
  • Oversee and direct visioning of recreational and competitive on and off-ice skating programs
  • Develop and implement policy related to program, customers, volunteers and staff
  • Develop internal and external communication systems, marketing and promotional materials
  • Report to KWSC Board of Directors and seek necessary approvals
  • Establish and monitor program budgets
  • Develop and sustain community partners, and governing body relationships as necessary

Education/Experience/Qualifications

  • Post secondary education in Recreation Management and/or Sport Administration or equivalent senior level business management experience
  • 5-10 years management level experience  in Recreation and/or Sport Administration is an asset
  • Demonstrated advanced level interpersonal, organizational, supervisory, written and oral communications skills
  • Knowledge of the sport of skating an asset
  • Proven track record of success managing in the non profit sector
  • Strong budgeting and forecasting experience in organizations with budgets greater than $1,000,000.00

Key Activity A – Program Development - 30%

  • Oversee development of recreation and competitive skating programs as directed by the Board
  • Manage the organization of special projects, competitions, simulations, AGM, Gala and other events; directly facilitate participation of members in these events
  • Oversee planning of skater development programs/seminars/guest coaches/evaluators/judges
  • Ice Management – confirmation of availability and cost, manage contracts and billing, manage cancellations and communication to members
  • Work with technical director to identify program needs and address with Board
  • Develop marketing and promotion materials such as brochures; liaise with cities, skating governing bodies and other stakeholders
  • Organize registration process
  • Oversee activities of Athletic Centre

Key Activity B – Budget/Finance - 30%

  • Establish annual budgets with staff input and consultation
  • Manage grant applications, fundraising and sponsorship
  • Monitor monthly R&E and YTD
  • Report to Board budget issues; Follow up on areas not on target; (recommending program adjustments if required)
  • Oversee AP, AR, and payroll functions

Key Activity C – Managing Staff - 20%

  • Directly responsible for supervision of all office staff, technical manager and athletics manager
  • Indirectly responsible for performance of all staff
  • Recruit, orient and evaluate performance of management and support staff
  • Ensure workplace legislative compliance in all areas
  • Develop and equitably apply HR policies
  • Protect the future of KWSC by keeping current and providing the opportunity for coach/staff development, develop a resource library for coaches, skaters and members
  • Realign resources when required in consultation with affected staff
  • Deal with work team issues and recognize and resolve conflicts in a positive manner
  • Volunteers – manage, recognize, recruit, train and develop and provide direction to committees

Key Activity D – Administration/Customer Service - 20%

  • Manage communication
  • Manage IT – music, computer, phones
  • Attend staff, community, partner, governing body meetings as required including monthly Board of Directors meeting
  • Represent KWSC when required
  • Attend to web, phone inquiries and concerns
  • Oversee website information ensuring policy compliance and accuracy
  • Provide timely response to parent/customer concerns
  • Manage registration process ensuring materials and staff/volunteers are available
